The Forge
The Forge is a structured workshop run by Helikai with your team.
Why The Forge Exists
The most expensive workflows in your enterprise rarely show up on a balance sheet. They are the order-to-cash exceptions that bounce among five inboxes before being invoiced. The month-end close that consumes the finance team’s last 96 hours of every quarter. The customer onboarding process takes 14 days when it should take 14 minutes.
You feel the cost in headcount, in attrition, in customer churn, and in decisions that are made too slowly. AI can fix this — but only if you point it at the right work. The Forge is how we map our platform capabilities and AI Agent catalog to automate your most cumbersome processes.
The Forge is a structured workshop run by Helikai with your team.
The output is a Blueprint: an agreed-upon, written plan for the first business processes we will automate with Helikai software, plus a roadmap for the ones that come next.
Who The Forge is For
The Forge is built for operations and transformation leaders who are empowered to address the pain and inefficiencies of the business processes they own.
If you have visibility into the costs of your processes, own or co-own the resulting business metric, and can obtain buy-in from least one technology partner (e.g., CIO, CTO, engineering VP), the Helikai Forge is for you!
The Forge is not a generic AI strategy session. It is a working session focused on identifying real, concrete processes that you want - or need - to automate.
Inventory
We sit down with you, your SMEs, your IT partners, and the business owners of the processes in question, and we get every painful workflow on the table. We capture the steps, the systems involved, the people involved, and — most importantly — what makes each one painful and how that pain shows up in the business
Triage
Not every painful process is a good first AI candidate. Together, we score each candidate on the dimensions that actually predict success:
Value: (cost-of-pain × volume)
Feasibility: (data quality, system access, edge-case complexity)
Risk: (regulatory exposure, customer-facing impact)
Ambition Fit: (what your organization is realistically ready to absorb in the next two quarters).
This is the step where we map your business processes to our AI Agent catalog, looking for the fastest and most efficient ways to generate ROI.

Inside The Forge
The Forge is typically a single working day with one or two follow-up sessions, structured around three movements:
Blueprint
By the end of the engagement, we leave you with a written Blueprint: an agreed-upon plan for the first one or two processes we will automate, plus a forward-looking roadmap for the rest. This is the artifact you take to your CIO, your CFO, and your steering committee. The blueprint defined how our AI Platform and AI Agents will be integrated into your existing processes and systems, along with the schedule, requirements and resources required.
Process Documentation
Process flow or Swimlane diagrams, SOPs, screenshots, or AI-generated descriptions of your current workflows, handoffs, and systems.
The more detailed the process documentation is, the more effectively a Helikai AI based solution can be deployed.
How to Prepare
The Forge runs best when we walk in with shared context. To make that happen, we ask you to bring:
Problem Quantification
Even if only directionally correct, we collectively seek quantification of the pain. This grounds us in a quantified baseline of current state to improve upon.
Quantify the costs of inefficiencies in terms of: Estimates of time spent, labor costs, underlying system costs, error rates, revenue impact, or customer experience impact.
Participation
In attendance should be:
Subject Matter Experts - those who live the process
Business Owners - those who rely on the outputs of the process, and can influence organizational change
Technology Partners - IT, systems, and data leads who know what is possible (and what is not) in your current stack
If you do not have all of this on day one, we can still run The Forge. We will just spend more time gathering it as we go.
What You Walk Away With: The Blueprint
The Forge produces a single deliverable: the Blueprint. The Blueprint is a working artifact, not a sales document. It includes:

Your team uses the Blueprint to greenlight the work, communicate it internally, and measure success against it.
Our Methodology
We believe success breeds success. Every successful AI deployment opens the door to a more ambitious one — and the inverse is also true. The fastest way to stall an enterprise AI program is to start with a project the organization is not ready for.
So we right-size. We use the MITRE AI Maturity Model as a calibration aid, not as homework, to make sure the work we take on matches where your organization is today and where you want it to be six and twelve months from now. The first project should match your maturity and stretch it — not snap it.
From there, each engagement walks you up a staircase: more ambition, more complexity, more value. We almost always start with a piece of low-hanging fruit — something that delivers real, visible value without becoming a six-month archaeology project on legacy systems. That first win earns the trust and momentum to take on harder work next.
Meet us in the Forge
If The Forge sounds like the right next step for your organization, we would like to hear from you.
Tell us a little about the processes you have in mind, and we will set up an initial conversation. Most engagements begin with a short scoping call to confirm fit, followed by The Forge itself.
