We capture the steps, the systems involved, the people involved, and — most importantly — what makes each one painful and how that pain shows up in the business

Triage

Not every painful process is a good first AI candidate. Together, we score each candidate on the dimensions that actually predict success:

Value: (cost-of-pain × volume)

Feasibility: (data quality, system access, edge-case complexity)

Risk: (regulatory exposure, customer-facing impact)

Inside The Forge

The Forge is typically a single working day with one or two follow-up sessions, structured around three movements:

Blueprint

By the end of the engagement, we leave you with a written Blueprint: an agreed-upon plan for the first one or two processes we will automate, plus a forward-looking roadmap for the rest. This is the artifact you take to your CIO, your CFO, and your steering committee.

Process Documentation

Process flow or Swimlane diagrams, SOPs, screenshots, or AI-generated descriptions of your current workflows, handoffs, and systems.

The more detailed the process documentation is, the more effectively a Helikai AI based solution can be deployed.

To maximize efficiency and effectiveness of The Forge it is best if we operate with shared context.

To create this shared context, we work together leading up to The Forge to gather, as best as possible, the following:

Problem Quantification

Even if only directionally correct, we collectively seek quantification of the pain. This grounds us in a quantified baseline of current state to improve upon.

Quantify the costs of inefficiencies in terms of: Estimates of time spent, labor costs, underlying system costs, error rates, revenue impact, or customer experience impact.
